Current Role Available - Client Services Coordinator

FULL TIME (Salary dependant on experience)

We are seeking a Client Services Coordinator to ensure we maintain the high level of service we provide our clients during this rapid period of growth we are experiencing.


This is an administrative position with a customer service focus and is an exciting opportunity for the right candidate.

You will be responsible for building and maintaining meaningful and effective relationships with our clients in addition to managing the administrative tasks and workflow of the firm. You will also be required to visit clients from time to time so having your own car is essential.


The ideal candidate would be someone who is self motivated and organised with a strong initiative for quality, thrives on change and enjoys a varied mix of tasks.


  • Working closely with the team

  • Contacting clients to request missing pieces of information

  • Reviewing and checking client documents

  • Answering the telephone and being the first point of contact

  • Maintaining our client data bases including setting up new clients, editing, deleting and maintaining current information 

  • Ensuring smooth onboarding process for new clients

  • Ensuring ATO correspondence is downloaded weekly and urgent items actioned

  • Sending client proposals and follow up

  • Management of ASIC Annual reviews within CAS system

  • Confirming  lodgements with clients and managing deadlines

  • Adhoc invoicing in Xero

  • Visiting clients where necessary to collect information

  • Posting of mail where required

  • Monitoring and managing workflows

  • Typing of letters and creation of simple reports to clients

  • Relationship management – regularly checking in with clients and ensuring they are happy and informed of their work status

  • Other administrative tasks as directed


  • 2  + years experience in an accounting firm in an admin and/or bookkeeping capacity - with an understanding of the tasks and information flowing in and out an accounting firm

  • Proven experience in managing people, with emphasis on the timely and effective completion of client assignments

  • Interest and experience in process improvement and documentation of processes

  • High level of knowledge of general administration processes

  • Intermediate to advanced Microsoft Office skills 

  • Excellent verbal and written communication 

  • Organised and able to meet deadlines 

  • High level of accuracy and exceptional attention to detail is a must

  • Tech savvy and able to learn new things quickly

  • High level people skills 

  • Ability to manage multiple tasks with changing priorities

  • Experience using a MAC is preferred - not necessary
